Executive Assistant - Human Resources

Medicine Hat Public School Division offers a full spectrum of education services for its 7,000 students and 1,000 staff in the community of Medicine Hat, Alberta. Reporting directly to the Associate Superintendent of Human Resources, the Executive Assistant will act as the first point of contact for all inquires intended for the Associate Superintendent and provide administrative support to the Human Resources Department. This role works Monday mthrough Friday 7:30 a.m. to 3:30 p.m. for a period and will change to 8:00 a.m. to 4:00 p.m. As part of the reorganization of the department, the successful candidate will be cross trained for both this position and Substitute Staff Coordinator.

DUTIES AND RESPONSIBILITIES Provide comprehensive administrative and clerical support to the Associate Superintendent.

Draft, type, format, copy, distribute, file and retrieve correspondence, reports and documents of a routine or confidential nature on a regular basis.

Maintain employee personnel files and related HR documents.

Assist in the organization and preparation of various Division events, meetings, training sessions.

Cross-trained to coordinate substitute staffing for approximately 7 months.

Supporting the staffing, recruitment and onboarding of employees.

Maintaining the Division online human resources database, coordinating the communication of this information to other Division supports, such as payroll and IT department.

Provide administrative and clerical support to the Human Resources Manager, and other department members on an as needed basis

Maintain and manage the casual / sub list of teachers and educational assistants; coordinating the sub desk daily. QUALIFICATIONS

Preference will be given to applicants with the following Qualifications: Successful completion of a certificate or diploma in Office Administration or a related field from a recognized post-secondary institution is an asset

Minimum of 3-5 years of experience in an Administrative Assistant role supporting senior management.

Demonstrated knowledge and experience in a variety of software applications, including MS Office, SharePoint and Google Docs.

Experience working in a human resources and/or education based environment are assets.Qualified candidates are required to review the full job description for Executive Assistant prior to applying.
