Canada eSchool Administrative Assistant works in collaboration with the ETO Administrator and CES Administrator on various assignments. The Administrative Assistant counsels students on Ontario based online secondary school courses and pre-university testing that is available through Columbia International College and Canada eSchool. In addition, the Administrative Assistant assists with student and teacher inquiries on a daily basis, while completing administrative and customer service-related tasks.
The Employees duties as Canada eSchool Administrative Assistant shall include but are not limited to the following, which may be amended from time to time:Responsibilities include, but are not limited to:
Administration & Student Management Create and maintain Ontario Student Records (OSR).
Process and create student report cards
Process student registrations and applications; Documentation, prerequisite check, payment forms
Process and maintain final examination coordination
Create shipments and pickups for textbook, transcript, report card, testing materials
Assist with maintaining inventory control (textbooks, testing materials)
HR collaboration payroll
Generating and tracking rosters
Providing customer service to both internal and external candidates.
Daily email reminders to students (holds, expiry, exams, missing documentation)
Maintain and update registrations and student database
Emailing registration and payment forms
Counselling students regarding the various pre-university testing, workshop and course availability
Working with IT to maintain test operating systems and educational platform.
Preparing weekly and monthly reports on the success of the program
Qualifications Post-secondary diploma/degree in business or a related discipline and/or related experience in office administration.
Experience in a similar role preferred
Intermediate-Advanced skill level in MS Office Suite (specifically Excel, Word).
Possess a positive attitude, leveraging initiative to approach situations proactively.
Attention to detail in maintaining accurate records.
Work effectively with minimal supervision.
Ability to plan, organize, prioritize, and execute multiple tasks within set objectives in a timely and professional manner.
Ability to communicate effectively across various cultures and levels.
Experience with planning and implementing new strategies.
Hours of Operation and Work Schedule Part-time
Department is open and fully operational year round (twelve months).
Flexibility to work some overtime during evening and weekend during peak times is required, in addition to the hours listed herein.
This role works out of 1003 Main Street West, Hamilton, Ontario or a designated building or property used by the Company for regular operations within the Hamilton, Ontario area.
