School District No. 73 (Kamloops-Thompson) is currently accepting applications for the position of Secretary-in-Charge for Heffley Elementary/Sun Peaks Elementary. The incumbent will be required to travel between Heffley Creek and Sun Peaks on a regular basis.

This is a full-time, permanent position which works 10 months of the year. Following successful completion of the probationary period, the incumbent will be eligible for Extended Health Benefits, as well as Group Life and LTD Insurance. School District No. 73 belongs to the Municipal Pension Plan.

Under the limited supervision of the Principal(s), the incumbent will perform relatively complex stenographic, bookkeeping, record keeping and/or clerical tasks to ensure the efficient operation of a school office and acts a personal Secretary to the Administrative Officer. Work is varied and requires independent judgment and initiative.

TYPICAL DUTIES: Acts as a Receptionist and interacts on an ongoing basis with both internal and external contacts as a central information source.

Schedules appointments.

Collects cash and issues appropriate receipts.

Records demographic information.

Processes student records as each student enrolls in or transfers out of the school.

Provides relevant information to appropriate internal and external agencies as required.

Prepares and transports bank deposits.

Types, files and/or duplicates a variety of materials.

Transcribes dictation and/or composes correspondence and prepare detailed reports.

Performs computerized accounting, bookkeeping and record keeping systems functions.

Operates various types of office machines/equipment.

Processes work and/or purchase orders and places service calls.

Maintains on-site inventory of office supplies and equipment.

Takes minutes of meetings.

Other assigned job related duties.ABILITIES, KNOWLEDGE AND SKILLS: Ability to communicate and maintain effective working relationships with, the public, students, teachers, Principals and other employees of the Board, in addition to various outside agencies/suppliers.

Ability to understand and implement office procedures.

Ability to organize, problem solve, manage requests and prioritize workload with limited supervision.

Ability to compose letters and memoranda without dictation.

Ability to take and transcribe dictation including minutes.

Ability to establish, organize and maintain bookkeeping and record keeping systems.

Ability to dispense 1 First Aid.

Ability to accurately process large amounts of cash.

Considerable knowledge of office procedures and ability to operate and troubleshoot a variety of office machines/equipment.

Considerable knowledge of and/or experience with computerized accounting, bookkeeping and record keeping systems commensurate with the schools operating procedures.

Advanced knowledge of computer software in a Windows environment, including word processing, spreadsheet, database, Microsoft Office and web-based applications. QUALIFICATIONS: Grade 12 supplemented by a program in office administration including course work in computerized accounting, bookkeeping, word processing and data processing.

Level 1 First Aid Certificate required.

Keyboarding - 55 w.p.m.
