Senior Board Coordinator

100% Regular

Monday - Friday, 35 hours per week

Union Exempt Level 5: $70,786 to $83,296

Reporting to the General Manager of Board Services, the Senior Board Coordinator facilitates the provision of services for the Board of Trustees and provides direct support to the Chair of the Board. Responsible for the production of the official record of the standing, statutory, advisory and ad hoc committees; and in the absence of the General Manager, will assume responsibility for the day-to-day operation of the Board Services and Corporate Records Division.

Main responsibilities include but are not limited to:

Recording and preparing minutes of closed meetings of standing, statutory, ad hoc committees and hearing panels of the Board.

Reviewing, editing and finalizing reports/minutes prepared by Board Services staff, and as assigned by the Manager of Board Services.

Ensuring timely and accurate compilation, preparation, publication and distribution of all agendas and notices for standing, statutory, advisory and ad hoc committees of the Board.

Preparing and distributing correspondence resulting from Board motions.

Providing procedural advice, routine guidance, explanations and interpretations to Trustees, staff and the public related to closed meeting protocol, the by-laws and standing rules, parliamentary procedures and the Education Act.

Ensuring that appropriate follow up regarding board motions and committee recommendations is undertaken.

Responding to written and verbal inquiries from Trustees, superintendents, staff and provincial and local governments.

NOTE: Some evening meetings will be required. Qualifications Post-secondary degree in a related field and 3 to 5 years of relevant work experience, preferably in a school board environment. An equivalent combination of education and experience may also be considered.

Experience with agenda and minute preparation is required.

Completion of AMCTO Municipal Administration Program courses is considered an asset.

Knowledge of parliamentary procedures and legislation pertaining to local government and education, in particular, the Education Act and the Municipal Act.

General knowledge of the Boards organizational structure.

Interpersonal and communication skills for liaising with the Board of Trustees, Senior Staff, Board personnel and the public; requiring a high degree of tact, discretion and diplomacy.

Written communication skills for preparing board minutes, agendas, drafting responses.

Leadership skills to mentor, train and motivate the Board Services team.

Organizational skills, as well as time management techniques for planning and organizing work.

Juggling multiple and conflicting demands and priorities, and working under strict and short timelines.

Ability to use judgment for routine decision-making and problem-solving.

Research and analytical skills required for gathering, collecting and summarizing information upon request from senior staff, or trustees.

Computer skills, including proficiency in word processing, databases and spreadsheet applications to accomplish work. Application Process
