Office Assistant(s) - Continuing Education

100% Regular, 2 positions available

Monday - Friday, 35 hours per week (12 Month Work Year)

Work Location: 440 Albert Street, Ottawa ON

ESP Level 4: $19.16 to $24.48 per hourUnder the general direction of the Program Manager and the Continuing Education Principal, the Office Assistant assists with the intake, registration, enrolment functions and provides clerical and administrative support to the Language Instruction for Newcomers to Canada program (LINC); English as a Second Language, Literacy & Basic Skills and Childcare Program. Main responsibilities include but are not limited to: responding to inquiries (over the phone, in-person, email), maintaining student and staff information (recording, monitoring and tracking systems), preparing and distributing various correspondence; and performing other related duties to support the LINC, ESL, LBS programs. Qualifications Completion of secondary school diploma, and minimum of one year related work experience; or a combination of education and experience.

Interpersonal and communication (oral and written English) skills required to provide, exchange and clarify information for clients and other internal and external groups.

Ability to respond to inquiries using tact and diplomacy, and with compassion and understanding.

Ability to speak additional languages is an asset. (Arabic preferred; Other languages considered beneficial include: Dari/Pashto, Farsi, Somali and Ukrainian)

Knowledge of and experience working with computer applications and databases, including Student Information Systems (i.e. Harts/EOIS Cams/Aspen), Google Docs/Sheets, HR Information System, and K212/Edsembli as well as Microsoft Office applications.

Organization and time management skills are required to prioritize work and multiple priorities.

Ability to work independently, with minimal supervision and as part of a team.

Attention to detail and accuracy for data entry work.

Initiative and judgement required to action routine or proceduralized matters.

Reliable mode of transportation required, as occasional travel to program sites for registration may be required. Application Process Applications will be
