The primary responsibility of this 12-month position is the provision of secretarial and administrative support services to the Superintendent of Schools (CEO). This excluded position requires superior secretarial and computer application skills as well as excellent written and oral communication skills together with highly developed organizational and interpersonal abilities. Work is performed independently, with limited direction and requires the utmost in confidentiality and diplomacy.
Roles and responsibilities will include the following: Provide executive secretarial and administrative support services to the Superintendent
Maintain records/files for the office of the Superintendent
Process minutes of committees/district meetings/projects as directed by or under the responsibility of the Superintendent
Coordinate and assist in the arrangement of schedules, travel, in-service activities, meetings, correspondence and other similar aspects of this responsibility
Maintain communication and contact with all staff who report to the Superintendent
Use initiative in dealing with matters involving communication with parents, employees and others under the direction of the Superintendent
Conduct basic research and prepare statistical/financial reports, charts, diagrams and spreadsheets, as required
Maintain the content and design of the district-wide media services and district templates
Build and maintain effective office systems
Compose, edit, format and proofread written materials/correspondence
Liaise with the Ministry of Education and Child Care staff and submit required reports
Liaising with Ministry and community officials, as well as School District staff, trustees and the public
Project Management data/analytics SharePoint, Power BI as required
Ministry contact re: Data collection 1701, 1601, SharePoint, BCeID, FSA, Student Learning Survey, District/Authority Scholarship
Handling and distributing confidential information
Maintain confidentiality in all aspects of these responsibilities
Other related responsibilities that may be assigned by the SuperintendentQualifications: A minimum of Grade 12 or equivalent
Successful completion of an Office Administration Program (Certification) or equivalent knowledge and experience (testing may be required)
Keyboarding 55 wpm (testing may be required)
Strong technical skills and abilities in the Microsoft Office Suite and successful completion in the following courses (testing may be required):
Microsoft Word Advanced Course
Microsoft Excel Advanced Course
Proven skill/ability developing complex spreadsheets using Excel (testing may be required)
Proven skill/ability drafting written communication for various purposes (testing may be required)
Experience with various office equipment as required, including fax and photocopier
Experience with graphic design (Canva) is considered an assetCharacteristics: Willingness and ability to learn other programs, as needed
