Substitute Booking Dispatch Clerk (Part Time)

The Evergreen Catholic Separate School Division is currently seeking a Part Time Substitute Booking Dispatch Clerk. Under the direction and supervision of the Senior Executive Assistant, the Substitute Booking Dispatch Clerk will maintain and manage the Substitute Teacher dispatch and workboard system for the Division. This role will serve as a backup reception services at the Division Office.Division Office operates twelve months of the year and hours of operation are 8:00 a.m. to 4:00 p.m. This position is a twelve (12) month position and works Monday through Friday from 6:00 a.m. 10:00 a.m.This is an essential position with the responsibility of ensuring all classrooms within the division have proper teacher coverage and prompt communication with school offices. Due to the hours of this position and the requirement for relief of reception duties, we are seeking an individual who is dependable and flexible including a combination of in-office and work-at-home, early mornings and possible additional hours as the need arises.

Knowledge, Education and Experience:

This position requires relevant formal training in secretarial and/or business administration diploma and related computer skills. The incumbent must have excellent organizational and communication skills, advanced skills in MS Office Programs, database and financial spreadsheet skills, exhibit characteristics of flexibility, cooperation, dependability and superior interpersonal skills. The incumbent is also required to have at least two years of experience working in an office setting with an excellent work ethic and attendance record. School based experience and working knowledge of PowerSchool Atrieve would be an asset.

Key Responsibilities: Substitute Teacher Dispatch: Oversee the dispatching process for substitute teachers, maintain accurate records, and ensure timely entry into the divisions employee database.

School Administration Liaison: Communicate with school administration through daily emails and reports to coordinate substitute teacher assignments.

Daily Operations Management: Perform a daily balance to confirm all absences are filled and replacements are accurately recorded.

Recruitment Coordination: Schedule interviews with prospective substitute teachers and casual support staff, manage onboarding paperwork, and create new employee files.

Reporting: Deliver monthly reports on the substitute teacher dispatch system to the Deputy Superintendent.

Reception Support: Serve as a backup to the Division Office front reception, managing phones, assisting walk-in clients, and handling mail and courier distribution.

Confidential Support: Prepare confidential secretarial duties as directed.

Flexibility: Be prepared to perform additional duties as assigned, demonstrating adaptability and commitment to the divisions needs.Required Documents: Current Resume
