Human Resource Associate Employee Information Management

Job Purpose

Employee records administration, while ensuring compliance with DDSB policies, procedures, legislation and up to fifteen (15) collective or employee agreements. Provide front-line customer service to employee and management queries and requests for information. Responsible for providing guidance and information to select client groups regarding terms and conditions of employment, benefits and employment status for elementary, secondary, occasional teachers, custodial maintenance staff, early childhood educators, educational assistants, continuing education, clerical, technical staff and lunchroom supervisors.

Accountabilities

EMPLOYEE RECORDS ADMINISTRATION: Create new hire records, ensures FTE approval, processes employee status and salary changes, processes terminations resignations and retirements and completes required documentation for pension and benefits coverage, seniority calculations and credential verification, SEB top up calculations, process experience and qualification documentation, calculates and evaluates employee experience relative to wage grid placement, etc.(meeting strict payroll deadlines to ensure that employee receive appropriate payment of wages)

Ensures compliance with legislation and bargained terms and conditions of employment for up to fifteen (15) different employee groups/collective agreements.

Maintains automated employee records including disciplinary letters, correspondence, and source documents for all employee changes.

Provides employees with member assistance for pension enrolment, disability waivers and plan membership changes.

Responsible for quality control of all documentation processed prior to payroll submission.

Data Information AnalysisSUPPORTS NEW EMPLOYEE ORIENTATION: Collaborates with recruitment and other teams/departments, creates onboarding resources; and documents onboarding all new employees.PROVIDES CLIENT SUPPORT: Acts as front-line client service contact for employees and managers explaining specific employee group terms and conditions of employment.

Creates and coordinates provision of information and reports, meets with staff and managers to address issues and concerns.

Maintains documentation to support employee performance reviews including distribution, retention, tracking and maintenance of probationary and annual appraisals. Tracks and maintains employee seniority service records.SUPPORTS COLLECTIVE BARGAINING (AND GRIEVANCE) PROCESS: Generates and analyzes data for collective bargaining meetings, which may include sick leave analysis, long-term occasional staff usage and costs, service and seniority data, external survey data for compensation purposes, etc.

Provide employee information and data required to support labour relations in preparation for grievances.Knowledge and Skills Sound knowledge of Employment Standards Act and Ontario Human Rights Code

Understanding of the Education Act and how it impacts employment of teachers, disciplinary processes, etc.

Knowledge of HR/ Payroll System and understanding of connections between control functions and HR functions

Sound knowledge of OMERS Pension Plan and TPP

Experience working with HRIS and related systems. Excellent skills using MS Office and related software

Strong attention to detail and the ability to manage large volumes of work while ensuring accuracy of work

Mathematical aptitude

Education Completion of undergraduate degree in Human Resources Management/ Business/ Industrial Relations or a combination of education, training and experience deemed to be equivalent.Experience

3-5 years Human Resources experience required

2 years Pension Administration experience required

3 years Experience working in a unionized HR department

3-5 years Experience working in HR in the education sector preferred
